Overview

LawPay Pro has built-in import functionality to help you get all of the information you need into LawPay Pro so that you can quickly get started tracking your time and billing your clients.

We recommend that you import your data in the following order:

  1. Import Cases

  2. Import Contacts (People)

  3. Import Contacts (Companies)

  4. Import Time Entries

Note: By importing your data in this order, you will be able to link clients to cases during the import phase, so you don’t have to do it later manually.

Importing Cases

  1. Gather your current case data: this may be in an Excel sheet or additional software from which you can export case data.

  2. Download the LawPay Pro Case Import Spreadsheet Template here.

  3. Copy the information from your Excel sheet or spreadsheet into the LawPay Pro Case Import template. Make sure to copy the data into the correct columns. The table explains what each column is. Pay special attention to Link ID and Outstanding Balance.

  4. Once all your data is organized in the import template, save it as a CSV.

  5. Login to LawPay Pro and navigate to Settings

  6. Select Imports/Exports

  7. Click the Import Cases button to start importing.

  8. Review the information, double-check your template to ensure your data is in the correct columns, and click Next.

  9. Upload the CSV Template by dragging and dropping your file or click to browse from your computer.

  10. Select the Import button.

  11. You have successfully uploaded your data to be imported! You can continue to work in LawPay Pro while the import is processed. To check on its progress, open the Background Tasks pop-up in the bottom right corner.

  12. Once the import has been completed, the status will update, and you can view the import in more detail by clicking View History.

  13. In the view history section, you can confirm that all the rows were imported correctly. If there are any errors, you can view and download the errors from the screen, fix the issues and then re-import those rows again.

  14. Select the Close button to complete the process.

Importing People

  1. Gather your current case data: this may be in an Excel sheet or additional software from which you can export people data.

  2. Download the LawPay Pro People Import Spreadsheet Template here.

  3. Copy the information from your Excel sheet or spreadsheet into the LawPay Pro People Import template. Make sure to copy the data into the correct columns. The table explains what each column is. Pay special attention to Case Link ID and Outstanding Trust Balance.

  4. To import people from Outlook or Google, click the links.

  5. Once all your data is organized in the import template, make sure it is saved as a CSV.

  6. Login to LawPay Pro and navigate to Settings

  7. Select Imports/Exports

  8. Review the information, double-check your template to ensure your data is in the correct columns, and click Next.

  9. Upload the CSV Template by dragging and dropping your file or click to browse from your computer.

  10. Select the Import button.

Q&A:

Q: There is an error when uploading the template I want to import. What should I do?

A: Make sure the template is saved in the CSV format.

Q: I am getting an error saying my file is too big. How do I fix it?

A: Open the file, copy and paste some of the data and headers into a new CSV file, and then upload files one at a time.

Q: How do I import invoices?

A: We cannot import invoices into LawPay Pro. However, if the case has an outstanding balance, you can include this on the case import in the Outstanding balance column. This will import an outstanding balance for the case so that when you go to invoice that case in LawPay Pro, the outstanding balance will be automatically added as a flat fee to the invoice

Q: What if my client has an existing trust balance?

A: Use the trust balance column in the contact import

Q: How do I link my clients to my cases?

A: When importing your cases add a unique number for each case to the link ID column in the case import template. Then when you go to import your clients, add the corresponding ID from the case import link ID to the column to the contact import case ID link column.
